FIELD TRIP INSTRUCTIONS, SELECTION PROCESS

The names of the ARARA field trip leaders will be posted at 
registration.

You MUST attend the pre-trip meeting to go on the field trip.

The pre-trip meeting for Friday's field trips will be held Thursday 
from 5:00 - 7:00 p.m. at the Evening Social Gathering in the Garden 
Café. Look for either Gary or Terry at the Registration Desk.

During the conference we will announce the time and location for the 
pre-trip meeting for Monday's trips. A notice will also be posted 
at the Registration Desk.

FIELD TRIP SELECTION PROCESS

The field trips were scheduled using the following process:

1. As the applications were received, they were assigned group numbers.

2. Each group was assigned two random numbers used to order the 
groups for trip selection. One random number was used for first trip 
assignment. The other was used for the second trip assignment. The 
use of two random numbers put all applications on an equal footing 
for selecting trips.

3. Volunteer ARARA field trip leaders were assigned their highest 
preference trip based upon their lottery number.

4. Primary and secondary trip assignments were made for all groups 
whose applications were received before May 12, provided all group 
members were registered.

5. If it was beneficial in providing a trip, the selected day was 
changed. Any changes were based using the requester's trip 
selections. No changes were made using a trip not on the requester's 
application.

6. When trip names and trip numbers were inconsistent, the trip name 
was used.

7. Trip selections were limited to the first six trips listed.

8. Some groups were not assigned during the first round. Their field 
trip applications self-limited their choices in one or more of the 
following ways:

        a. Having all their selections being on same day,
        b. Limiting themselves to less than six preferences,
        c. Using most of their selections on the most popular trips.

These groups will be contacted and given an opportunity to select a 
trip from those trips with available space. This was done to allow as 
many people who wanted to participate in the field trips to do so.

FAQ

1. How do I contact the members of my group?

The members of your group are the people you requested on the field 
trip request form. As a minimum it is only you, but could be as many 
as three others.

2. Do I have to attend the pre-trip meeting?

Yes, you must attend or make prior arrangements with me to get the 
trip information.

3. Did I get a trip on Friday (Monday) to go with my Monday (Friday) 
trip?

No group was assigned more than one trip.

4. Why didn't you anticipate the attendance and get more field trips:

Field trips require local leaders who are knowledgeable of the area 
and the cultural background. We were able to provide 14 trips that 
accommodate 257 people. Some of the leaders are leading two trips and 
giving up their Memorial Holiday to show us the rock art of their area.
